COMPUTERS AND SOFTWARE

 

Employees/staff members will be provided with a computer and other electronic equipment and programmers required to carry out their work and are entitled to the necessary computer aids (e.g. screen fitters) and fine eye examination will also be made available to employees as required.

 

The employee is authorized to use only the facilities mode made available to them when they log into the company computer system under their allocated user name and they are responsible for all actions carried out from within their user name.  All computer systems are at risk from viruses introduced from outside sources.  For this reason the employee must not use or load any disk which has been taken out of the office at any time without expression, permission of the Internal Software Department (ISD), whether or not the disk contains office work, or other material.  Transference of data onto an employee’s home/private computer is not allowed under any circumstances unless authorized specifically by the ISD.  Additional software, however small (e.g. Screen savers) cannot only carry viruses, but can also interact with legitimate company provided software in an unpredictable manner.  For those reasons the employee must not introduce or install any computer software onto the company’s system whether home disks or other source without the express permission of ISD.  Any use of unauthorized access to data or facilities (internal or external) will be regarded as serious or even gross misconduct.

 

The employee is entitled to use software installed on the company’s computer system and the accompanying manuals and documentation for business related purposes only.  They are not entitled to make unauthorized copies.  Any unauthorized copying of software, manuals or associated documentation by staff will therefore be regarded as misconduct.

 

Data Protection

 

The company retains personal information on all employees and staff members, agents full and part time in both electronic form and in secure filing cabinets.  This information is confidential and is not developed to any other party without the express permission of the employee.

 

All employees have the right to inspect their own information and if necessary, to require correction should such records be faulty.  This will be deemed to be part of the contractual employment with the company.

 

Employees should be aware of their own obligations and responsibilities under data protection, principles to protect data on other individuals (both management and office-staff) which they may encounter during their employment.

 

E-mail / Internet / Intranet

 

Clubwww1 provides electronic transmission systems for the purposes of its business only.  Employees may be expected to operate such systems and it is a basic rule that, in working hours, such access must be only for the company’s business purposes.  Monitoring devices are installed and any form of electronic communication may be checked to ensure that only company business is being transacted and that this is being conducted in an acceptable way using reasonable language etc.  It is a contractual requirement that employees agree to such monitoring.

 

The use of the e-mail system, the intranet and the internet within the company is encouraged, as their appropriate use facilitates communication and improves efficiency, used correctly and responsibility, these are facilities that are of assistance to many employees.  Their inappropriate use however, causes many problems, ranging from minor distraction to legal claims against the company.  Accordingly, the company will not tolerate the use of the systems for any of the following:

 

-         Any message that could constitute bullying or harassment (e.g. on the grounds of sex, race or disability)
